AquaMind Core runs the counter: the register, your stock, the time clock and the phone app. Every other part of AquaMind OS is a module you add for a flat monthly price — the tank board, lighting, treatments, plants, wholesale, receiving, work metrics, the AI assistant and dog daycare. You never pay for a screen you don't use. Core is the same for every shop; a module simply switches on the tabs, phone screens and background jobs for one more part of the business.

Core runs the counter

AquaMind Core is the register, the stock manager, price labels, the time clock and the phone app for selling, scanning, counting and clocking in — /month self-hosted or /month on AquaMind Cloud, one register included.

A module switches on a part of the shop

Add Tank Monitor and the Tank Monitor, Maintenance, Water Log and Reports tabs appear in the menu, the phone gets an Alerts screen and the water-change scheduler starts running. Nothing to install; every module ships inside the app and waits for its licence.

Buy on this site or at the counter

Pick modules in the plan builder when you sign up, or open the Module Store tab inside AquaMind later: an owner or manager confirms with their PIN, pays by card through a secure Stripe checkout (a QR code you scan with your phone), and the new tab shows up in the menu within about a minute.

Change your mind any time

Modules bill on your plan cycle, per store location, and can be cancelled whenever you like. Dropping a module hides its tabs but keeps every record it wrote — re-add Tank Monitor a year later and the tanks, water logs and QR tank-log history are all still there.

Prices are per store location. Annual billing is ten months for the price of twelve. Every plan includes email support and free updates; Priority Care is optional.

Every tank on one board — live water readings, alerts that say why, water changes scheduled from the actual bio-load, and a full record behind a QR code on the glass.

Everything in the module

  • Rack and tank board — live temperature, pH, TDS, salinity/specific gravity, alkalinity, nitrate and water level on every tank tile, rolled up per rack.
  • Alerts that explain themselves — “pH 7.87 is below 8.10 (safe 8.10–8.40)”. The same reason shows on the tile, the rack’s coloured border and the rack’s What’s flagged panel, so staff never guess.
  • Per-tank safe ranges set in Safety Thresholds; a reef or marine tank is judged on saltwater ranges, never on freshwater defaults, so healthy reefs don’t false-alarm.
  • Honest “live” — a probe that has been silent for five minutes shows offline, not as a fresh reading.
  • Raspberry Pi rack controllers — discover on the network, pair with an owner-approved activation, heartbeat and status, remote restart, over-the-air firmware updates.
  • WiFi and Tuya probes feed the same tiles with no Pi at all; hosted (Cloud) stores relay shop-network sensors through the free AquaMind Bridge.
  • On-screen calibration for pH (7.0 and 4.0 points), TDS and temperature, per rack, with a reset.
  • Sensor history — charts per rack and tank with a history button on every rack card.
  • Water-change scheduling from real data — the interval is computed from tank volume, measured nitrate and a species bio-load table, clamped to the minimum and maximum days you allow, with a plain-English explanation of how it was reached.
  • Automated water changes — drain, fill, heater and air relays; start, stop and a rack-wide emergency stop; per-tank settings and a complete history.
  • Overdue nags everywhere they’re useful — on the Tank Monitor tab, the alert ticker, the phone’s Alerts badge, and as an auto-created recurring task staff can accept or be assigned.
  • Water Log — record water changes and water tests (pH, temperature, TDS, ammonia, nitrite, nitrate) with a periodic “time to test” prompt you set.
  • Maintenance tab — per-rack maintenance mode, “water change due” and “filter due” chips, one-tap filter-clean logging, and flash the tank’s LEDs to find it on a busy floor.
  • Timed work sessions — starting a water change or filter clean on a tank times the job (and feeds the Metrics module); stale sessions close themselves.
  • Tank types with their own views — breeding tanks with a breeding wizard and stage logs, fry tanks with graduation, grow-out and quarantine tanks.
  • Per-tank records — quarantine admissions and releases, treatments, growth records, fry counts, observation notes and every fish moved in or out.
  • QR tank-log pages — a public page per tank (stock, water logs, water-change history, treatments, observations, movements, quarantine records, CSV export) that customers and inspectors can open by scanning the code on the glass. Rack QR codes deep-link to the rack view.
  • Reports tab — consumables, inventory and store-equipment reports plus a printable PACFA supplier-acquisition compliance report.

Per-tank LED colour and schedules, whole-rack scenes and an attract show for the sales floor — plus smart plugs, pumps and dosing timers, all from the register or a phone.

Everything in the module

  • Per-tank colour and brightness with twelve named looks — Daylight, Warm White, Cool White, Plant Growth, Blue Light, Moonlight, Tropical, Deep Blue, Storm, Sunrise, Sunset and Off.
  • Custom colour wheel — RGB plus a separate warm-white channel, live on the strip as you drag.
  • Daily schedules per tank with day-of-week rules, and one-tap programmes: Tropical Day, Planted Tank, Dawn to Dusk, Warm White, Storm, Night Mode, All Off.
  • Quick Scenes for a whole rack — repaint every lit tank on a rack at once, from the register or the phone.
  • Demo / attract show — a rack-wide light show that runs on the server for as many minutes as you set, with running/stopped status mirrored in the app. Great for the front window.
  • Timed colour transitions on a rack, with a stop button; boot lights so a restarted controller comes back to the right scene.
  • Add-a-light and add-a-strip wizards that map LED ranges to tanks and warn about overlaps or LEDs that don’t exist.
  • Tuya smart devices — monitors, plugs, switches, bulbs and valves added locally: network scan, test, group, switch, per-reading thresholds and reading history. Rescan-and-heal for devices that changed IP; no cloud round-trip.
  • Pumps and dosing timers driven by Tuya switches, Arduino relays or Pi GPIO — schedules, manual runs, timed overrides and a “back to schedule” button.
  • Arduino relay boards registered and test-fired from Settings.
  • Phone Devices screen with guard rails — monitors are read-only, switches always send an explicit on or off (never a blind toggle), pumps offer only a timed run, so nobody floods a tank from a pocket.
  • AquaMind Bridge enrolment for Cloud-hosted stores lives on the Devices tab, relaying shop-network sensors up to your hosted store encrypted.

AquaMind Medical™

Start a treatment on a tank and the dose is worked out for you; every dose is signed by a PIN, taken out of the cabinet stock, and written into the tank’s permanent record.

  • Three views — Active treatments with a live count, the Medicine Cabinet, and History.
  • Dosing maths done for you — pick the tank, pick the medication, and the dose comes from the tank’s volume and the medicine’s dose-per-gallon.
  • 23-symptom checklist — white spots, fin rot, velvet, dropsy, popeye, hole-in-head, flashing, gasping, clamped fins and more, grouped as external, fins, behaviour and colour.
  • Medicine recommendations from the symptoms you tick.
  • Every dose is signed — a valid employee PIN is required, and the verified PIN is what gets recorded, not whatever the screen claimed.
  • Cabinet stays honest — each dose deducts the bottle from store supplies and writes a usage line.
  • Medicine cabinet — medication, active ingredient, quantity on hand, expiry date and where it is kept.
  • Treatment schedule — next dose time, frequency (every N hours or single dose), an effectiveness note, and End / Stop early.
  • On the record — treatments appear in the tank’s history and on its public QR tank-log page.
  • Phone screen — see active treatments and end one from the floor.

Plant Nursery

Plant batches from cutting to sale, nutrient dosing that deducts from stock, and grow-zone timers for misters, grow lights, fans and heaters.

  • Batch lifecycle — seeding → sprouting → growing out → mature → harvested (or lost), with a filter per stage.
  • Stage history — advance a batch with notes and every move is written to a per-batch timeline.
  • Split batches into offspring from cuttings while keeping the parent lineage.
  • Nutrient catalogue with per-stage dose recommendations.
  • Dose like medicine — scan the bottle, scan the tank, record the amount; it deducts from store supplies and logs who did it.
  • Dosing history — batch, tank, growth stage and amount in one table.
  • Grow zones and timers for misters, grow lights, fans, heaters and pumps, each optionally bound to a smart plug.
  • Two timer modes — daily (on/off times on chosen weekdays) or cycle (N seconds on, M off inside a window), plus manual run and live status.

Wholesale

Sell to other stores straight out of your live tanks: licensed customers, invoices with terms, a bag label for every species and scan-out at the door so the count is always right.

Everything in the module

  • Wholesale customers — store name, address, contact and the buyer’s PACFA licence number, required for resale.
  • Your own licence set once and printed as the seller licence on every wholesale invoice.
  • Payment terms per customer — Net 30, COD and so on — carried onto each invoice.
  • Build from live stock — search fish by species or tank so you only sell what’s actually swimming.
  • Invoice lifecycle — draft → finalise → paid → cancelled, with line items editable while in draft.
  • Bags worked out for you — give a bag count, or fish-per-bag and the count is calculated; 251 fish at 25 per bag becomes 11 even bags, never 10 full bags and a straggler.
  • Labels at the tank — bags exist the moment a line is added, so labels print while you pack and finalising doesn’t invalidate them.
  • Bag labels on a Brother QL — seller header, species large, quantity very large, bag number, buyer store, invoice number, date and a QR of the bag code.
  • Scan-out at the door — scan each bag (or “scan out all remaining”) to deduct stock and record who released it; the invoice list shows bags scanned vs total.
  • Printable invoice and an invoice QR image; a stats view for the tab’s summary figures.

Receiving

Photograph a packing list on the phone, review the read lines at the register, and commit the delivery into stock with a manager’s PIN — text recognition runs on your own server, no cloud needed.

Everything in the module

  • Photograph it — snap a supplier packing list or invoice on the phone; the register does the rest.
  • On-device text recognition — an OCR engine installed with one tap from inside the app, running on your server’s CPU. Nothing leaves the building.
  • Optional cloud reading with your own AI key if you prefer, constrained to a strict schema.
  • Emailed PDFs work too — a text PDF is read exactly with no recognition errors; scanned PDFs are OCR’d page by page; multi-page documents are stitched together.
  • Matched to what you stock — exact SKU or barcode is a certain match, so is an identical name; otherwise a fuzzy name score you can accept or fix.
  • Unknown lines classified automatically as livestock, plant, coral, supply or goods, with a manager override.
  • Review screen — fix a match, create a brand-new item instead, set the sell price, add a line the scan missed, or skip lines.
  • Bulk placement — select lines and put them in a tank or on a shelf/bin in one action.
  • PIN-approved, audited commit — staff can photograph and stage; only a manager or owner PIN puts it into stock, and the audit says who.
  • Live status on the phone — Queued → Reading → Ready for review → Added to stock, with a “waiting on the register” list; reprocess, view the original, or discard.

  • By Employee — ranked fastest-first, each compared to the team average: “12% faster”, “+18% slower”, “~ team avg”.
  • Recent Sessions — employee, tank and rack, duration and a friendly timestamp.
  • Manager-only — the tab is on the manager menu, not the staff menu.
Metrics reads the work sessions that Tank Monitor & Aquatics Care records, so it needs that module to have anything to show. Sales, payroll and time-log reports are in the Reports tab.

    Common questions

    Modules, billing and switching things off.

    No. Start with Core, or with the free demo which has everything switched on, and add modules when you need them — from the plan builder on this site or from the Module Store tab inside AquaMind. A module bought in the app is live within about a minute of paying.
    An owner or manager opens the Module Store tab, taps the module, and confirms with their PIN. AquaMind opens a secure Stripe checkout — a QR code to scan with your phone, or a link on Cloud stores — so the register never touches card details. When the payment clears, the module’s tabs appear in the menu. Staff can browse the store but cannot buy.
    Per store location. One Tank Monitor licence covers every register, every phone and every rack controller in that shop. Extra registers are priced separately in Core.
    Nothing is deleted. Cancelling hides the module’s tabs and stops its background jobs; every record it wrote — tanks, water logs, treatments, invoices, plant batches — stays in your database and comes straight back if you re-add the module.
    A self-hosted store keeps running: licences are checked against a signed file on your own server, refreshed in the background, with a three-day grace period if a refresh is missed. The Module Store itself works from a cached catalogue, so an unfinished purchase can always be picked up later.
    Metrics needs Tank Monitor & Aquatics Care, because it reports on the tank work that module records. Nursery timers drive smart plugs that are set up in Lighting & Smart Devices. Dog Daycare needs the store type set to dog daycare. Everything else stands alone — Lighting, Medical, Wholesale, Receiving and the AI Assistant all work without Tank Monitor.
    Yes. Every module has a monthly and an annual price; annual is ten months for the price of twelve and follows the same cycle as your Core plan. Use the Monthly / Annual toggle at the top of this page to compare.
    None to begin with. Tank Monitor and Lighting get their full value from a Raspberry Pi rack controller or WiFi probes and smart plugs; Wholesale and Core labels want a Brother QL or NIIMBOT printer; Receiving only needs a phone camera. Ready-made kits are in the Shop and the details are on the Requirements page.
